Idle Pilot LLC (“Idle Pilot,” “we,” “us”) operates the Idle Pilot service at app.idlepilot.com. This policy explains what data we collect, how we use it, and your rights.
What Idle Pilot Does
Idle Pilot keeps Slack or Microsoft Teams presence available during configured Work Hours. To do this, we need the connection credentials required by the platform you connect.
Data We Collect
Account Information
When you sign up, we collect your name and email address through Google sign-in or email magic link. This is used to create and manage your account.
Platform Connection Credentials
To operate the service, we collect the connection credentials required for the Slack or Microsoft Teams account you connect. These credentials allow us to manage presence. We never read your chats, messages, files, channels, teams, or other platform content. The credentials are used solely to maintain presence during your scheduled hours.
When you disconnect the active platform or delete your Idle Pilot account, its connection credentials are permanently deleted from our systems.
Schedule & Preferences
We store your work schedule (days, times, timezone), vacation mode settings, and currency preferences to operate the service.
Billing Information
Payment processing is handled entirely by Stripe. We do not store credit card numbers or payment details on our servers. Stripe collects your billing address for tax calculation purposes. Stripe’s privacy policy governs how they handle your payment data.
Usage & Analytics Data
We use Google Analytics to measure page views, feature use, and device information according to the regional choices described below. We send an internal account identifier and account properties such as subscription status, not your name or email address. We record a signup event only when our API creates a new account.
We use Sentry for operational error monitoring. With your explicit permission for session recordings and analytics, Sentry can also buffer dashboard interactions for an error replay. This permission is required in every region. Replay masks text and inputs and blocks media. It does not record activity outside Idle Pilot. Turning off analytics or session recordings stops replay. Operational error reports remain enabled; we redact sensitive URL parameters and omit names and email addresses from client error identity fields.
When analytics is enabled under your regional settings, we store limited acquisition information: the referring source, campaign labels, purchased keyword label when supplied, landing page path, and capture time. Enabled advertising measurement also permits a Google click identifier. We associate this record with a new account to measure registration, first platform link, and first confirmed scheduled presence. Raw authentication URLs, tokens, and email addresses are not acquisition fields. When measurement is disabled, account creation still works and the acquisition record has no optional traffic fields.
Presence History
We log when your status changes between active and away to power the activity timeline feature in your dashboard.
How We Use Your Data
- Operating the service: managing Slack or Microsoft Teams presence, running your schedule, sending transactional emails
- Billing: processing payments, calculating applicable taxes
- Improving the product: understanding usage patterns, diagnosing errors
- Communicating with you: account notifications, service updates
We do not sell your personal data. When advertising measurement is enabled under your regional settings, we measure which ads lead to signups. This setup does not enable personalized advertising or Google signals.

Each service processes data according to their own privacy policy.
Cookies and Local Storage
We use cookies and browser local storage for:
- Essential: keeping you signed in, storing your currency preferences
- Consent preferences: a first-party cookie shared by idlepilot.com and app.idlepilot.com, kept for up to 180 days
- Analytics: Google Analytics cookies and a first-party acquisition cookie kept for up to 30 days, subject to the regional settings below
- Advertising measurement: a Google click identifier when supplied, subject to the regional settings below. This option also requires analytics because conversion measurement uses Google Analytics.
Cloudflare supplies the country used to select our measurement rule. When we detect a country in the European Economic Area, the United Kingdom, Switzerland or Canada, optional measurement waits for your consent. In other countries, or if location is unavailable, analytics and non-personalized advertising measurement start without a banner unless you opt out. Personalized advertising stays off. Session recordings require explicit permission in every region. Saved refusals take priority over location. We honor Global Privacy Control and Do Not Track by blocking all optional measurement.
We use the self-hosted vanilla-cookieconsent library for the controls. It does not send your choices to a consent service. Use Privacy settings in the website or app footer to reject or change these choices. Withdrawal clears the related first-party measurement data. If you are signed out or offline, deletion of your account’s acquisition record waits until your next authenticated app connection. Withdrawal does not undo data already sent to Google or Sentry; contact us for a data request.
Data Retention
- Account data: retained while your account is active. Deleted upon request.
- Platform connection credentials: deleted immediately when you disconnect the active platform or delete your Idle Pilot account.
- Presence history: retained while your account is active.
- Analytics data: retained according to Google Analytics and Sentry default retention periods.
- Account acquisition record: kept for up to 90 days from registration, with a daily expiry task. After expiry, we keep daily totals without account IDs, click IDs, or campaign strings. Consent withdrawal deletes the account’s acquisition record when the app can authenticate the request.
- Billing records: retained as required by tax and accounting law.
Your Rights
Regardless of where you live, you can:
- Access your data by contacting us
- Delete your account and all associated data by contacting us
- Export your data by contacting us
For EU/EEA Residents
Under the GDPR, our legal basis for processing your data is:
- Contract performance: for operating the service you signed up for (Slack or Microsoft Teams presence, scheduling, billing)
- Legitimate interest: for error monitoring and product improvement
- Consent: for analytics, optional replay, and advertising measurement (withdraw through Privacy settings)
You have the right to access, rectify, erase, restrict processing, data portability, and object to processing. To exercise these rights, contact us at the address below.
Your data is stored on servers in the United States. By using Idle Pilot, you consent to this transfer.
For California Residents
Under the CCPA, you have the right to know what data we collect, request deletion, and opt out of sale or sharing where applicable. We do not sell personal information. Use Privacy settings to turn off advertising measurement or all optional measurement. We also honor your browser’s Global Privacy Control signal.
Data Security
Your data is encrypted in transit via HTTPS. Platform connection credentials are stored in a secured database with restricted access. We follow industry-standard practices to protect your data, but no system is 100% secure.
Your Responsibility
Idle Pilot is a tool that manages Slack or Microsoft Teams presence. You are responsible for ensuring your use complies with your employer’s policies, the connected provider’s terms, and any applicable agreements. Idle Pilot is not responsible for employment consequences arising from your use of the service.
Children
Idle Pilot is not intended for anyone under 16 years of age. We do not knowingly collect data from children.
Changes to This Policy
We may update this policy from time to time. We will notify you of material changes by email or through the service.
